Duties & Responsibilities
The Transaction Coordinator is responsible for coordinating, and providing excellent service to all clients, agents, and third parties involved in the contract to close process. The Transaction Coordinator supports our team of agents by maintaining deadlines, answering client questions, scheduling events, and managing the escrow process with little or no hassle to clients and third parties.
The Transaction Coordinator has a central role within the residential sales team with responsibilities that include:
Listing Management:
  • Conduct property visits
  • Create listing packages
  • Schedule and meeting contractors, stagers, photographers, cleaners as needed
  • Launch marketing plan for listings, including writing property descriptions, and ordering posts
  • Enter property information into the brightmls system
  • Prepare & facilitate the execution of transaction paperwork
  • Coordinate showings of properties
  • Consolidate and prioritize messages, requests, meeting responses, and key tasks and coordinate follow up and follow through on these items
  • Create and deliver marketing materials to the properties
  • Ensure property signs are updated
  • Create weekly property reports, and send to agents on Monday morning
  • Ensure all properties have 2 sets of keys
  • Manage property records in our databases and systems
  • Manage inventory of equipment, signs and lock boxes
  • Create list of open houses
Transaction Management:
  • Process real estate contracts through closing
  • Maintain proper electronic and paper files
  • Manage all timelines to ensure that deadlines are met
  • Coordinates inspections and closing with all parties
  • Proactively establish communication with clients, cooperating agents, title company, lenders, and other service providers to ensure progress toward closing
  • Upload transaction files to appropriate system
  • Schedule home inspections, coordinating client, agent and inspector schedules
  • Create addendums and obtain signatures as needed
  • Order HOA documents and home warranties as needed
  • Monitor and ensure all closing contingencies are met
  • Update internal team on the progress of all contracts and advises agents of when they need to become involved in negotiations or issue resolution
  • Proactively handle any issues that arise from the transaction home inspection, appraisal, or financing
  • Ensure paperwork’ compliance with brokerage
  • Ensures that all post-closing disbursements, filing, and procedures take place
  • Obtains client testimonials following the transaction
  • Prepare client gifts and provide to agent prior to closing
  • Prepare and send “closing package” to client which contains all pertinent information regarding their closing
  • Schedule closing and send closing documents to all parties 24 hours before closing
  • Minimum of 3 years of integrated database experience; MLS experience preferred
  • Strong preference for real estate industry marketing and communications experience
  • Ability to build powerful relationships and represent the team in a strong and consistent manner in various settings
  • Technical proficiency with Microsoft Office Proven ability to work in a collaborative team setting as well as drive work individually, and
  • Bachelor’s Degree
  • Experience in a high-growth environment preferred
